POS        


Cash Counter
POS Cash Counter now supports Australian currency when logged into an Australian database.
Negative Inventory Quantities
When completing a POS transaction, Evosus will check to see if the delivery of the items will result in a negative quantity on hand.  If so, the user will be warned of the negative and asked if they want to proceed.  The transaction will be delivered, but will NOT post to the general ledger until quantity on hand is reconciled through purchase order receipts, transfers or adjustments.
Optionally, security can be placed on the delivery of negative items so that employees cannot deliver items that will result in a negative quantity.  See System section below for details.


 

Customer        


Points Reward
Points Reward Programs can now be setup and assigned to customers.  Points accrue based on a customized multiplier, such as 1 point = $1, based on filters determined by your company.  Awards, such as a credit memo, will be granted once the award level is reached or at program end.  Loyalty cards can be assigned to customer accounts so employees can scan the card at POS to pull up the customer’s account.
Example Programs:
•Recurring – Points accrue until an award level of 250 points is reached.  Once that level is reached, the customer is granted a credit memo for $25 that expires in 30 days if it is not used.
•Program End – Points accrue throughout the entire calendar year.  On December 31st, customers are placed into special pricing groups based on the award level they reached.  The discount/special pricing will be in effect for a period of time you determine, such as the following calendar year.  For instance, customers that reached 500 points will receive a 10% discount the following calendar year, customers that reach 750 points will receive a 15% discount and customers that reached 1000 points will receive a 20% discount.
Import New Customers
Additional fields have been added to the New Customer Import utility:
•Bill To Contact
•Ship To Address Fields (these fields are ONLY required if the Ship To Address is different than the Bill To Address).
•Additional Phone Number Fields
•Additional Email Field
•Legacy System ID
•Customer Notes (If a duplicate customer exists, the Notes will still be imported to the existing customer’s account in Evosus).
Equipment
Added the ability to easily transfer equipment to a customer with a different address.  For instance, the spa was sold or moved to a new residence.
Communication Method
The “Accepts Emailed Invoice and Statement” checkbox on the Customer Profile>Options menu has been replaced by a Communication Method drop down which includes user-defined Communication Methods, such as Email, Fax or Mail.
The Communication Method will appear at the top of the Print Preview window when customer-related documents are printed, such as orders, invoices and credit memos.  
Default values are Standard and Email.  If the “Accepts Email…” checkbox was checked on the Customer Profile, then the Communication Method drop down will default to Email.  If unchecked, the drop down will default to Standard.
Communication Methods can be setup by the user in the following locations:

Distribution Method
Distribution Method will now be saved on quotes and orders even if no line items exist.  Changing the distribution method on a quote or order will also ask the user if the stock site should be updated on all existing line items.  If the user selects yes, then the stock site is updated based on the Store Stock Site Relationships.  If the user selects no, then the stock site is only updated for new items added to the transaction.
Sales Tax
Sales tax will now be remembered on quotes and orders even if the transaction is saved with no line items.
Invoicing with Negative Quantities

Negatives & Use Tax
If delivery of an item will result in a negative and use tax is applied, Evosus will NOT allow invoicing to be completed.  The negative must be resolved before the item can be invoiced.
Credit Memos
Email will now auto-populate when emailing credit memos from Customer Profile.
Item History
If water testing integration is turned on, the shopping list recommendations for the client will appear on a new tab under the Item History button on POS, Quote and Order transactions.  Double click the item to add it to the transaction.
Assign Serial Numbers
Serial Numbers currently on hold for a customer cannot be assigned to a different customer while the serial number is on hold.
Merge Customers
Fixed issue where Job Bills were not transferred properly when customer accounts were merged.
Deposits
Fixed issue where the deposit clearing account was not cleared out when an order is cancelled and the converted credit is applied to another order.
Site Profiles
Fixed issue where customer location records (addresses) were not being updated on Site Profiles when the location record was updated in the Customer Profile.

Fixed issue where the My Queues count didn’t match the number of orders in the queue due to orders being included in the count before they were officially saved.  Orders will not be included in the My Queues count until the transaction is saved.

List Generation
Evosus Support Center ER Selection
Marketing lists can now be filtered for customers that have purchased in the past, but have not purchased recently.
Example:  You want to obtain a list of clients that have purchased Spas in the past, but never purchased chemicals.  You would create a PURCHASERS list based on the Order Interest of Spas.  Then create a NON-PURCHASERS list based on the Order Interest of Chemicals.  Then use the new Create Overlap List button in Marketing List Generation and select the two lists you created.
This new feature also extends the use of Non-Purchasers lists.  Previously, you could only run a non-purchasers list based on the Inquiry Interest which means the user MUST have inquired on a specific interest, but did not purchase.  Now, you can choose Order Interest and Evosus will display all customers that do not have any orders with that interest assigned.  This means there doesn’t have to be a lead/interest record on the customer’s account and allows for more flexibility.

Purchase Orders
The Receive Inventory screen has been redesigned for added functionality:
•Selecting Administration>Inventory>Purchase Orders>Receive Inventory now takes you directly to the Receive Inventory screen where all unreceived items will be displayed.
•Items can now be received across multiple POs at once.
Purchase Orders
Packing Slips have been redesigned for added functionality:
•The intermediary “Select Vendor Shipment” screen has been removed so that you’re taken directly to the Packing Slip entry screen when receiving inventory.  From a single screen, you can add a new packing slip or select an existing one and enter vendor notes.
•Items can be received into a different stock site than the one originally selected on the purchase order.
•Existing packing slips up to 6 months old can be selected when receiving inventory.
Purchase Orders
Added the ability to manually receive inventory without creating a purchase order.  These receipts can be associated to AP invoices.  Security exists to be able to create manual receipts.
Purchase Orders
Labor and Other type items can now be added to Purchase Orders.  Upon receipt, the cost is posted to COGS and purchases accrued not due. These item receipts can be associated to AP invoices.
Purchase  Orders
Adding items to a purchase order will auto-position focus to the new item in the list.  Deleting items on a purchase order will auto-position focus in the list to the neighboring item.
Purchase Orders
Added Vendor Order Number field to purchase orders. Field data will appear in purchase order search screens.  NOTE:  This field is auto-populated when using the Vendor PO integrations.
Purchase Orders
Barcodes can now be printed for any item on the PO even if the items have not been received.  If a partial quantity has been received, the barcode quantity will default to the partial receipt amount.

Reorder Alerts
Enhancements have been made to reorder alerts calculations to allow for more accurate reorder suggestions based on customer reported issues.
•Added the ability to perform a Company Level Analysis for reorder quantities.  Evosus will combine quantities on hand, reserved and on order across ALL stock sites and will suggest quantities to order based on the combined figure.  Assumes you can transfer quantities around stock sites to fulfill needs rather than order everything from the vendor.
•Added a filter for Special Order Items.
•Added a filter that will reduce suggested order quantity by quantity already on purchase orders in a “New” status.
•Filter for “Check for Reorder Alerts” always takes reserved quantities (on jobs, ICPOs and orders) into account regardless of the other filters selected.  If you want to ignore reorder levels then only select one of the Job, Orders or ICPO filters.
•Removed the Fill Factor Percentage System Parameter due to more accurate reorder calculations.
Reorder Alerts
Inventory reorder alerts can now be mass created, updated or deleted.  Feature is located under Administration>Inventory>Utilities. Use the new report filters screen to locate all items with or without reorder alerts for easy adding or updating.
Inter-Company Purchase Orders
Several changes have been made to Inter-Company Purchase Order (ICPOs) including the following:
•Users must now select an Intermediary Stock Site when filling items on an ICPO.  The intermediary stock site should be the vehicle that is transporting the materials, such as a service truck or delivery van.  You should setup your vehicles as stock sites if you haven’t already OR, at the very least, create one new stock site called “Transfers” that you will use the as the Intermediary Stock Site for all ICPOs.  The filled quantity sitting in the Intermediary Stock Site is not included in the Quantity on Hand figure when looking at stock available for sale at the Intermediary Stock Site.  Instead, the quantity can be seen in the InTransit column.  During the conversion, Evosus populates the Filling stock site as the Intermediary stock site.
•Users can now partially receive items on an ICPO with proper security permissions.  A partial receipt means someone filled the full quantity on the ICPO, but somewhere during transport, the item went missing.  You must enter a reason for the partial receipt.  You can view these reasons under Administration>Inventory>Inter-Company Purchase Orders>Search Discrepancies.  The reason will not appear until the ICPO is closed.
•The quantity of an item can now be edited on an ICPO when adding or deleting items.
•The Cancel feature has been removed on ICPOs.  ICPOs are now marked as closed.  If any items are marked as filled or received, then ICPO gets Closed status.  If ALL items are unfilled, then status is cancelled.
Stock Site Replenishment Wizard
Check the box “Only Request Items in Stock with Supplier” will now only request items from the supplying stock site if the ENTIRE requested quantity is in stock at the supplying stock site.  Otherwise, the item will not be added to the ICPO.
Delete Receipt
Added additional features and data validation to deleting purchase order item receipts:
•Partial receipt quantities can now be deleted. For instance, you received quantity 12 of an item, but meant to receive 10.  You could delete receipt of quantity 2 of the item.
•Item receipts can now be deleted after posting to the general ledger as long as no portion of that receipt has been removed from inventory (sales or transfer), the receipt has not been assigned to an AP invoice and the accounting period is open.
•Deleting posted item receipts will create a reversing GL entry and the unit cost will be recalculated for existing on hand items as needed.
•Item receipts can now also be deleted from the Inventory tab of AP Invoices and the Vendor Shipments update form.
Stock Adjustments
Stock Adjustment screen has been redesigned with additional features.
•Change cost when increasing quantity on hand.
•Quick view of current costs (unit cost, vendor cost and last purchase cost)
•View new quantity on hand before saving adjustment
•View current quantities across all stock sites
•Enter comments for why the adjustment occurred
Stock Adjustments
New Stock Adjustment History screen allows you to view all previous stock adjustments filtered by date, employee, stock site and wildcard text search.  Also includes the ability to reverse a stock adjustment.
Stock Transfers
Stock Transfer screen was redesigned with additional features.
•Perform a single transfer or mass transfer from one screen.
•Enter static kit codes to transfer all items within a kit.
•Import transfers from a spreadsheet.
•Stock Transfer Receipt will print on save.
•Cost will be displayed on the Stock Transfer Receipt if user has proper security.
•Serialized items can only be transferred quantity 1 at a time.
Stock Transfers
Stock Transfers can now be completed with the handheld memory scanner.  Stock sites have been barcoded, which means you will scan the transfer from stock site barcode, then scan the items to transfer followed by the transfer to stock site.  Continue this process until all transferred items have been scanned.  Once you’re done, simply import the data into the new Stock Transfer screen.
Stock Transfers
New Stock Transfer History screen allows you to view all previous stock transfers filtered by date, employee, stock site and wildcard text search.  Also includes the ability to reverse a transfer.
Suggested Stock Transfers
The Suggested Stock Transfer screen will recommend stock transfers based on reorder alerts and orders or jobs where inventory cannot be met.  For instance, if the Warehouse has quantity 2, but 3 different stores need the item, Evosus will recommend a transfer to two stores, but will deny the third store.   Multi-select is available to create ICPOs or go to the Stock Transfer screen.
Pending Returns Queue
All returned items (stock, non-stock and special order) now go to a Returns Pending Queue where you have the option to return the item to stock, move to disposal or move it to an RGA.  The appropriate accounting and inventory entries will be made automatically based on your selection.  The Returns Pending queue can be accessed from the following locations:
•Administration>Inventory>Return Goods Authorizations
•Administration>Inventory>Utilities
•Inventory Tab>Right Click>Process Pending Return Items
 
NOTE:  Job Materials bypass the Returns Pending queue.  Instead, you make the decision for stock, disposal or RGA from the undeliver items screen.  The appropriate accounting entries are still made.
Stock Site Quantity Display
On Hand quantity now excludes items “delivered, but not invoiced” and includes items that are “invoiced, but not delivered” and is the amount you physically have in stock.  This quantity may not match your inventory valuation quantity on hand.
Stock Site Quantity Display
Normal View and Expanded View options are now available in the Stock Site Quantity display grid on the Inventory tab.  Select Expanded View to display:
•Delivered – Quantity of this item that has been delivered, but not invoiced (this quantity is still included in the Inventory Valuation quantity, but not included in On Hand quantity).
•Invoiced – Quantity of this item that has been invoiced, but not delivered (this quantity has been removed from the Inventory Valuation quantity, but is still included in the On Hand quantity).
•Return Pending – Quantity of this item in the returns pending queue and no action has been taken (this quantity is not included in On Hand or Valuation on Hand quantities).
•Valuation on Hand – True on hand quantity from an accounting perspective.  This quantity will always match the Valuation Report and inventory asset accounts.
Special Order Items
A new item type exists for Special Order Items (SOI).  This item type can be used to sell and purchase custom items that must maintain their cost from purchase to sale and post to their own Inventory Asset holding account. Upon receipt, SOIs will post to the new SOI asset holding account and purchases accrued not due.
When an SOI part is added to a quote, order or job, the user is prompted to enter the vendor item code, vendor description, retail price and cost.  You can also enter special instructions that can be viewed by the purchasing agent. Administrators can also setup Interviews that employees must fill out in regards to the SOI that will also display for the purchasing agent.  The cost entered by the employee can be edited by the purchasing agent on the PO.  The cost entered on the PO will follow the item to the sales invoice.
Returned SOIs will be converted to a permanent Nonstock item to be resold to another customer.  Evosus will automatically mark the item as clearance and will mark the item as Do Not Sell once quantity is reduced to 0.
All SOIs can be viewed in Administration>Inventory>Utilities>Search Special Order Items.  A new Order Queue rule exists to catch all orders with Special Order Items.
NOTE:  A new GL account was auto-created during the upgrade for the Special Order Item Asset Clearing account.  Evosus used an existing inventory asset account as the GL code, but appended “SPO” to the end.  For instance, the number might be 1300-SPO.  You are free to change the GL code, but it is NOT recommended to combine the SOI clearing account with an existing inventory asset account. This will cause your GL to be out of balance with the Inventory Valuation report.
Receive Serial Numbers
Receive Serial Numbers screen has been redesigned with the following features:
•Record serial numbers for multiple items at once.  From the Receive Serial Numbers screen, you simply select an item from the drop down, enter serial numbers and then select the next item.
•Auto-generate serial numbers for items.  This is useful if you want to record serial numbers for employees to pre-sell, but don’t have the serial numbers yet or you wish to track serial numbers for items that do not typically have serial numbers.
Update Serial Numbers
The Update Serial Number screen now includes the following information:
•Purchase Tab – Displays purchase history for the serial number.
•Floor Plan Tab – View the floor plan associated to the serial number or assign a new floor plan.  You can also mark the flooring as paid.
•Audit Log Tab – Displays history of the serial number.
Update Serial Numbers
Special characters are now allowed in the Serial Number field.
Search Serial Numbers
Added Floor Plan and Days Available columns to the Search Serial Numbers screen.  Days Available is the total number of days the serial number has been available for sale based on the “Available” date on the Update Serial Number screen.
Serial Number Sales Hold
Sales Hold expiration date now defaults to 24 hours in the future.
Unit Cost Override
Created utility to edit the current valuation (unit) cost of an item. Adjustments will be made to the selected general ledger asset account.  Expenses will post according to a new accounting default where you select either COGS or Inventory Cost Variance.
•Quantity on hand must be greater than zero.
•User can enter a higher or lower single unit cost.
•Cost changes will display in the Master Audit Log.
Physical Counts
Redesigned physical counts for added functionality and enhanced cost change tracking.
•New wizard that walks users through transactions that should be cleared up before the count begins, such as customer orders, undelivered job materials, open POs, unreceived ICPOs and negative quantities.
•Master audit log entry is created for all items that displayed in the wizard prior to the start of the count.
•Added option to perform a blind physical count where current quantity on hand is not displayed on the count sheet.
•Added field on the count sheet for employee’s name.
•Items transacted since the count start date can no longer be included in the count.  They must be moved to a new count or excluded.  It is impossible to maintain count accuracy if inventory is being processed during the count.  The store should be closed to all activity while a count is in progress.
•Reductions in quantity on hand post at the current valuation cost.
•Increases in quantity post at the current purchase cost and will cause current unit cost to be recalculated (for average cost).
•Physical Counts will now auto-expire after the period of time specified in System Parameters.
 
 
Non-stock Items
Non-stock items will now be treated as assets meaning they will post the same as Stock items.  During the upgrade process, Evosus will create cost log records for all non-stock items with quantity on hand.  The cost of the items will be $0.00 for those items since the expense already posted when the item was received in the previous version.  New receipts of Non-stock items will post to the inventory asset account using the default vendor or purchase order cost and will track according to your valuation method (average, FIFO or LIFO).
Negative Quantities
Several changes have been made to the processing and tracking of negative quantities. When delivering items, Evosus will check to see if the delivery will result in a negative quantity on hand.  Depending on security permissions of the user, the transaction will be delivered, but will NOT post to the general ledger until quantity on hand is reconciled through purchase order receipts, transfers or adjustments.  This will help ensure the Inventory Valuation always matches the inventory asset account.
•Stock Adjustments cannot be saved if they will result in a negative.
•Stock Transfers cannot be saved if the transaction will result in a negative quantity at the supplying stock site.
•ICPOs cannot be filled if the transaction will result in a negative quantity at the supplying stock site.
•Accounting Periods cannot close if there are negative quantities waiting for cost.
•Items with Use Tax applied (tax calculated on cost) cannot be delivered or invoiced, regardless of security permissions, if a negative will result from the transaction.
•Negative items waiting for cost will be displayed in the new Held Pending Transactions queue.
Tree Changes
General restructure of the Inventory Tree Branch:
•Moved Stock Adjustments and Transfers to the root of the Inventory Tree.
•Created new Pricing branch that includes Store Price Overrides, Customer Price Groups, Retail and Cost Change Utilities.
Store Pricing
Special pricing can now be applied to store/locations based on a variety of filters including quantity purchased, product line, transaction type, item type and more.
If you have special pricing set up for your Portland Store that is 10% lower than your Vancouver Store, then employees logged into the Portland Store will see a different retail price for the same item.  Customers will not be aware they are receiving a special price – it simply appears as the normal Retail Price for that item.  Same thing applies if you change the store on a customer order.  The retail price will be changed according to the store selected on the transaction UNLESS you manually changed the price of the item.  At that point, the price you entered wins.
NOTE:  Your default retail price should always be the HIGHEST price you will ever charge a customer for that item.  Store Price Overrides should be a discount off of the default retail price as seen on the Pricing menu of the Item Profile.
Customer Pricing
Customer specific and customer type pricing filters have been enhanced to include additional options such as discount/pricing options and filters.
Item Discount Levels
Item Discount Levels (Level 1, Level 2, etc) can now be mass updated by product line, item type and vendor.  Items can be assigned to specific discount groups in mass and the levels can be updated for all items in that group.
Since item levels were previously updated per item, all unique price levels will be created as new Discount Groups during the conversion and auto-assigned to the appropriate items, so nothing will change for your existing item level defaults.
Benefits & Features
Benefits and Features have been redesigned for easier data entry.
•Item Benefits & Features are now entered under the Item Profile.
•Text can be copied from one item to another.
•Text can be imported via the Mass Update Inventory Spreadsheet.

Vendor Import
Vendors can now be imported from a spreadsheet using the Import New Vendors From Spreadsheet utility located under Administration>Inventory>Utilities. This utility is for new vendors only.  De-duplication is performed on vendor name only.  The only required field is the Vendor Name.
Item Sales
Sales button on Inventory Tab will now display sales for Labor and Other type items.
Inventory Batches
Batches for stock adjustments and transfers have been removed and are no longer available for use.  Managers can review employee stock adjustments and transfers via the Adjustment History and Transfer History screens.  Use the new Reverse feature to reverse the employee’s work as needed.
Return Goods Authorizations
Posting for manually-created RGAs has changed.  When sending the RGA, Accounts Receivable is increased for the Default Vendor Cost since that is what you would pay if you were to purchase the item today; however, the item must be removed from inventory at current Unit Cost (average, LIFO, FIFO).  Since the Default Vendor Cost can different from Unit Cost, the difference will post to the default COGS account for the item’s product line.
 
Below is an example where the Default Vendor Cost is $9.45 and the current Unit Cost is $11.50.  The different of $2.05 posts to the COGS account.

Blackout Dates
Fixed issue where techs were not being suggested when inactive blackout dates exist.


 Maintenance Contracts


Scheduled Tasks
Service tasks associated to maintenance contracts can now be “pushed” into the future based on a set number of days.  For instance, you want to move a customer’s scheduled maintenance day from Monday to Wednesday, so you would push the schedule forward 2 days.  Filters allow you to skips months or days and select whether processed tasks should be included.
Tax Override
Default tax can now be selected on Maintenance Contracts.  Selecting an override tax on the contract will override all other tax defaults for the customer on the contract service order created for the customer.
Order Date
When creating contracts and selecting the option “Invoice per Scheduled Date,” the Order Date of contract orders will now match the scheduled date.  This will make it easier to sort and locate orders in the Search Open Contract Orders queue.


 Evosus Mobile Service        


Static Kit Codes
Static kit codes can now be entered in the in the Evosus Mobile Service app and will be added to orders in Evosus when the app is synced.
Default Site Profile Values
Fixed issue where default site profile measurement and adjustment values were not displaying as the default in the Evosus Mobile Service app.

When delivering job materials, Evosus will check to see if the delivery will result in a negative quantity on hand.  If so, the transaction will be delivered, but will NOT post to the general ledger until quantity on hand is reconciled through purchase order receipts, transfers or adjustments.
 
NOTE:  If use tax is applied, then the user will be prevented from delivering the item until the negative situation is resolved.
Materials Manager
Materials can now be imported from a spreadsheet.  Not only can materials be imported, but negatives are allowed on the spreadsheet to reduce existing quantities on the Materials Manager.

Kit quantities can now be appended using the spreadsheet import rather than being added individually.  Adding multiple kit quantities will maintain the format as a single kit, but increases the quantity of items within the kit.

Customer Payment Search
Customer Payment Search screen has been redesigned to allow for easier searching of customer payments.  Features include additional filters, text search field, easy-to-use date filters and color coding of back dated and voided transactions.
AP Invoices
Accounts Payable Invoices have been redesigned to allow users to combine inventory receipts, account allocations and job allocations on a single invoice.  Options for Enter Bills Inventory and Enter Bills Other in the Accounts Payable tree branch have been replaced with a single option for Enter Bills.
Checks
Accounts Payable checks now have an audit log which includes the following information:
•Created Date and Employee
•Created Manually vs Automatically (Refunds, Pay Bills)
•Print Date and Employee
•Reprint Date and Employee

MICR Checks
Bank Account setup in the Chart of Accounts now has a field for Business Name.  This name will display on MICR checks printed for the selected account.  By default, the field is set to the Company Name in Administration>System>Evosus Defaults>Evosus License Company.
Print Checks
Print Checks has a new option to print a vendor Payment Reconciliation form.  The reconciliation form will display payments applied to invoices for the time frame and vendor you select. The report can be printed from Print Checks, Printed History, Vendor Profile Invoices, Vendor Profile Payments and Vendor Profile Debit Memos.
Master Check Search
The Master Check Search displays all AP checks created in Evosus.  Multiple filters exist including bank account, created/printed/voided date and wildcard search.

Bank Deposits

Pending Hold Posting Transactions
All on hold accounting transactions can now be found in the Pending Held Posting Transactions search screen located in Administration>Accounting>Accounting Desk.  On hold transactions can also be viewed when closing Accounting Periods.

Valuation Method
Changing the inventory valuation method from FIFO/LIFO to Average Cost or Average Cost to FIFO/LIFO will now post journal entries to adjust out any existing quantities on hand and stock adjust quantities back in using the new valuation method.  Evosus will also take a snapshot of inventory prior to making the valuation method change.  Rules have been added for changing the valuation method:
•All users must be logged out except for the user making the valuation method change.
•Valuation method cannot be changed if negative quantities exist at any stock site.
•Valuation method cannot be changed if any Physical Counts are currently in progress.
Valuation Method
Unit Cost (Average/LIFO/FIFO) is now tracked at the GL level rather than by stock site.  For instance, all service vehicle stock sites post to the same “1305 Service Truck” general ledger asset account.  Evosus will track and calculate unit cost for the 1305 general ledger rather than each individual stock site.  The Average Cost Log and FIFO/LIFO logs will display the appropriate GL account next to each entry.
Inactivate Vendors
Vendors cannot be inactivated if the following conditions exist:
•Open Invoices
•Open Debit Memos
•Open RGAs
•Open Inventory Receipts
•Vendor is associated to items with quantity on hand greater than 0.
 
During conversion, inactive vendors will be reactivated if any of the above conditions exist.
Bank Reconciliation
Reconciled and posted bank reconciliations can now be cancelled and the proper reversing entries will be created.  Bank reconciliations must be cancelled in order.
•You cannot cancel a bank reconciliation if one or more current bank recs exist for the same account.
•You cannot cancel a bank rec in a closed accounting period.
Accounting Periods
Accounting Periods cannot be closed if the following conditions exist:
•Negative quantities are waiting for cost.  See Inventory>Negative Quantities section for more information.
•Items existing in the Pending Returns Queue.
Tax Codes
Added “In Use By” tab to the Tax Code update screen.  Helps you identify where the tax code is in use before you attempt to inactivate it.
Journal Entry
Added ability to import journal entries from an Excel or Open Office spreadsheet.
Bill Search
Added posting status, text search and color legend to the AP Bill Search screen.
AP Invoices
Fixed issue where duplicate invoice numbers were not caught when updating existing invoices and changing the number.

Water Test Performance
New Report is available called Water Test Performance under Administration>Reports>Sales>Orders & Invoices OR Administration>Industry Integrations.  This report is enabled when water test integrations are turned on.  With various output options, the report water test shopping list items compared to what the client actually purchased. It also displays sales conversion ratios based on a customizable amount of time, such as 3 days.

Created several new report filter options for inventory reports. New filter screens also allow you to save report filter selections for later use.

Inventory Valuation
Evosus is now limiting the number of Inventory Valuation snapshots that are saved in the database to two (2) years instead of four (4) years with the exception of the following:
•Snapshots that were manually created by the user by going to Administration>Inventory>Utilities will not be deleted.
•Snapshots auto-created on the 27, 28,29, 30, 31, 1, 2 or 3 of the month will not be deleted.
•Snapshots manually created by some event in the software will not be deleted.  These events include changing the inventory valuation method or the GL account on a stock site.
Inventory Valuation
Inventory Valuation reports cannot be processed for a back date in certain situations. For instance, the valuation method is changed from Average Cost to FIFO on 3/1/2013.  Users could not backdate the Valuation Report prior to 3/1/2013.  They must use the saved Past Inventory Snapshots in the drop down list.
 
Users would be able to backdate the Valuation report to any date after 3/1/2013.  For instance, on 4/10/2013, you could backdate the report to 3/31/2013.
Vendor Reports
Vendor Purchase Order Items Received, Open Inventory Receipts and Vendor Shipments reports have been replaced with the Vendor Item Receipts Report.

 Evosus Card Services by PayPros


Card Transactions
Evosus will now use the database server date/time on transactions instead of the local workstation time.
Voiding
Made a change to how Evosus passes voided transactions to PayPros.  Previously, a temporary hold was placed on the funds for up to 3 – 5 days.  Evosus will now perform a “double void” which will immediately void the transaction and prevent the funds from being held an extended period of time.
Slow Transaction Processing
Increased the timeout period for credit card transactions when communication with PayPros is slow.  This should avoid situations where the credit card transaction is authorized on the PayPros side, but Evosus does not receive confirmation back due to slowdowns in communication.  Better messaging was also added to the screen to inform users that Evosus is attempting to communicate with the processor.  If a response is not received, Evosus will warn that the transaction may have processed successfully and PayPros should be contacted.

Quantity on Hand
Added the ability for implementation clients to enter beginning quantity on hand figures from the product setup tool. Quantities can be entered on the screen or via a spreadsheet import.


Administrative


Evosusadmin Password
Evosus will be resetting the password for the Evosusadmin username during the conversion to v6.1 and will be auto-rotating the password every 90 days to comply with PADSS compliance rules.
 
If you do not want Evosus to have access to the Evosusadmin password, you can change it at any time by going to Administration>System>Employees>Employees. Locate the Evosusadmin user and edit the password.
 
To ensure we can offer the highest level of Support possible and reduce possible delays in remote assistance, we have created a process that will send the current evosusadmin password back to our corporate office to be stored in a secure location. This process can be turned on or off at your discretion via a System Parameter called “Share ‘EvosusAdmin’ credentials w/Evosus Support.”  You should turn OFF the system parameter if you do not want Evosus to have access to the Evosusadmin password.
PoolWerx Support User
Australia & New Zealand Databases ONLY:
A new employee login (PWSupport) will be created during the update for PoolWerx NSO staff to use when providing remote assistance to Franchise Partners.   The password will auto-rotate every 90 days.
 
You can change the password at any time by going to Administration>System>Employees>Employees. Locate the PWSupport user and edit the password.
Changes to Evosus Install Process
The Install_Evosus.exe now includes the .NET framework 4.0 to support new vendor integrations.  This means the file size is considerably larger (about 95MB) and the unpackaged files could use as much as 2GB if the .NET Framework 4.0 needs to be installed. You should make sure you have proper disk space to support the file size on every computer where Evosus is installed.
 
Centralized software distribution can also be accomplished using the silent-install option of the Evosus installer in combination with a solution for remote software execution.  We do not support a specific implementation of remote software execution.  A valid solution might involve the use of custom Powershell scripts. The command to execute our installer in silent-mode is: Install_Evosus.exe /S
We do not have sample Powershell scripts that we can provide.
Windows Services
In prior versions of Evosus, Windows Services were used to manage the Evosus Browser and Evosus Mobile Service.  In the new version, the daemon job, which controls several automated processes in Evosus such as running the valuation report snapshots, will also be controlled via a Windows Service.  Previously, it was setup as a Scheduled Task.  This scheduled task will be deleted during the upgrade when the new Windows Service is installed.
 
All of these Services will now be installed on every machine where Evosus is installed; however, a System Parameter will control where the Services actually run.  The System Parameter, called Evosus Service Host, will be the machine that runs the Services.   By default, the System Parameter is set to the first machine where v6.1 is installed which is typically the terminal server or main server.
 
This machine will also have a new icon in the System Tray which displays the running status of each service.   You can quickly identify whether or not each service is running without going into the Windows Service screen.
